Behavioral Guidance Policy

Purpose: Our childcare center is committed to providing a safe, supportive, and nurturing environment where children can grow and learn. We believe that positive behavior guidance is essential for the healthy development of each child. This policy outlines our practices for behavior guidance, prevention, and intervention strategies, documentation procedures, prohibited actions, and our process for working with families when behavioral concerns arise.

Creating a Positive Environment: We design our environment to be engaging and child-centered, reducing potential triggers for challenging behaviors. Activities are planned to meet the developmental needs of all children, and transitions are managed smoothly.

Setting Clear Expectations: Children are provided with clear, consistent, and age-appropriate expectations. Rules and routines are explained in simple terms and reinforced regularly.

Modeling Positive Behavior: Staff model appropriate behaviors, such as sharing, cooperation, and using polite language, to teach children social skills.

Encouraging Self-Regulation: Children are taught to recognize their emotions and are provided with strategies to manage them, such as deep breathing, counting, or finding a quiet space.

  1. Intervention Strategies:

Redirection: If a child engages in inappropriate behavior, they are gently redirected to a more appropriate activity or behavior.

Natural Consequences: Where appropriate, children are allowed to experience the natural consequences of their actions, helping them learn the impact of their behavior.

Time-In: Instead of time-out, children are offered time-in, where they sit with a teacher and discuss their feelings and the behavior that led to the situation. This approach helps the child understand the consequences of their actions and learn alternative behaviors.

Problem-Solving Discussions: Children are encouraged to talk about what happened and think of ways to resolve conflicts with the guidance of a teacher.

  2. a. Minor Incident Log Book:

All minor behavioral incidents, such as disputes over toys or momentary disruptions, are documented in a Minor Incident Log Book. This log includes the child’s name, the date and time of the incident, a brief description of the behavior, and the intervention used.

  1. b. Reportable Incident Forms:

For more serious behavioral concerns or repeated incidents, a Reportable Incident Form will be completed. This form includes detailed information about the incident, the child’s behavior, the context in which it occurred, and the intervention strategies used. It will be signed by the staff involved and reviewed by the facility manager.

  1. Prohibited Actions

The following actions are strictly prohibited in our childcare setting:

Hitting, Spanking, or Any Form of Physical Punishment: Physical punishment of any kind is not tolerated.

Restraint: Physical restraint is only used in situations where a child’s safety or the safety of others is at immediate risk, and only as a last resort.

Yelling or Shaming: Verbal abuse, including yelling, shaming, or belittling a child, is not allowed.

Food or Rest as Punishment: Withholding food, rest, or using these basic needs as a form of punishment is prohibited.

Isolation: We do not isolate children as a form of punishment. Instead, we practice inclusive guidance strategies that support the child within the group setting.

When behavioral concerns arise, families are informed promptly. Minor concerns will be communicated at pick-up time, while more serious issues will be discussed in a scheduled meeting.

We work collaboratively with families to understand the child’s behavior and any underlying factors. This may involve gathering information about the child’s experiences at home, any recent changes, or additional support the child may need.

Together with the family, we develop a plan to address the behavior. This may include adjusting strategies used at the center, implementing consistent approaches at home and in the center, and, if necessary, involving external professionals (e.g., behavioral consultants).

  1. Ongoing Communication:

Regular updates will be provided to the family on the child’s progress, and adjustments to the behaviour guidance plan will be made as needed. The aim is to create a consistent, supportive environment for the child both at home and in the center.

  1. e. Review and Reflection:

The Behavioral Guidance Policy is reviewed regularly to ensure it remains effective and aligned with current best practices. Feedback from families and staff is considered in these reviews.

This policy is designed to support the development of positive behaviors in children by fostering a respectful and nurturing environment. We are committed to working with families to ensure that each child receives the guidance they need to thrive.

Safe Release of Children Policy

Purpose: The safety of children in our care is our top priority. This policy outlines the procedures to ensure that children are released only to authorized and capable individuals. It also provides guidelines for handling situations involving unauthorized persons, impaired individuals, and what to do if a child is not picked up at the end of the day.

Responding to an Authorized Person Who Appears Incapable of Providing Safe Care

Assessment of Impairment: If a person authorized to pick up a child appears impaired (e.g., by alcohol, drugs, or other factors), staff will assess the situation discreetly.

Discussion and Delay: Staff will engage the individual in conversation to delay the pickup while another staff member contacts an alternative authorized individual from the child’s emergency contact list.

Alternative Arrangements: If the individual’s impairment is confirmed, staff will request that another authorized person be contacted to pick up the child.

Refusal of Release: If no alternative can be arranged, the staff will refuse to release the child to the impaired individual and contact local authorities (e.g., police) if necessary for the child’s safety.

Documentation: The incident will be documented in detail, including the actions taken and any communications with the impaired individual and other authorized persons.

Responding to an Unauthorized Person Attempting to Pick Up a Child

Verification of Authorization: If someone who is not authorized arrives to pick up a child, staff will verify that they are not on the child’s authorized pick-up list. Staff will politely inform the individual that they are not authorized to pick up the child.

Court Orders and Legal Considerations: If the individual is subject to a court order prohibiting contact with the child, staff will immediately refuse release, inform the person of the legal restrictions, and contact local authorities if necessary.

Contacting Parents/Guardians: The child’s parents or legal guardians will be contacted immediately to inform them of the situation and to clarify pickup arrangements.

Secure Environment: The child will remain in a secure area within the facility until an authorized person arrives.

Documentation: Staff will document the incident, including details about the unauthorized person, the steps taken, and any communications with parents or authorities.

Process for When No One Arrives to pick up a Child

Initial Actions: If no one arrives by the scheduled pickup time, staff will attempt to contact the parents or legal guardians using the provided contact information.

Late Pick-Up Fee: Parents will be charged a fee of $5 per minute for every minute they are late in picking up their child after the scheduled pickup time.

Contacting Emergency Contacts: If parents or guardians cannot be reached, staff will proceed to contact the emergency contacts listed for the child.

Continuing Care: The child will be kept in a safe, supervised area of the center while attempts to reach the parents or emergency contacts continue.

Last Resort – Contacting Authorities: If no authorized individual can be reached within one hour after the scheduled pickup time, and all emergency contacts have been exhausted, staff will contact the local child protection agency or the police for guidance.

Documentation: The situation will be fully documented, including all attempts to reach parents, guardians, and emergency contacts, as well as any communications with local authorities.

This Safe Release of Children Policy is designed to protect the children in our care by ensuring they are only released to authorized and capable individuals. Transportation of Children

Purpose: This policy ensures the safe transportation of children during field trips and outlines the responsibilities of parents for pick-up and drop-off. The childcare center is committed to maintaining high safety standards whenever transporting children.

Transportation of Children

Field Trips Only: The childcare center will provide transportation services only for field trips. Parents are responsible for transporting their children to and from the center.

Authorized Vehicles: The center will use a safe and reliable bus for transporting children on field trips. The bus will be equipped with all required safety features, including age-appropriate car seats and seat belts.

Field Trip Transportation Guidelines

Child-to-Staff Ratio: During field trips, the staff-to-child ratio will be maintained at 1:6. This ensures adequate supervision and safety for all children.

Supervision: In addition to the driver, there will be sufficient staff on the bus to meet the 1:6 ratio, ensuring that all children are properly supervised throughout the trip.

Parental Consent: Parents/guardians must provide written consent for their child to participate in field trips. Detailed information about each trip, including the destination, duration, and transportation arrangements, will be provided in advance.

Safety Equipment for Transporting Children

Car Seats: All children will be secured in age-appropriate car seats or booster seats, as required by law. These will be properly installed and checked before the bus departs.

Seat Belts: Each child will be required to wear a seat belt at all times while on the bus. The vehicle will not move until all children are safely buckled in.

Vehicle Safety Checks: The bus will undergo regular safety inspections to ensure it meets all safety standards. Checks will include tires, brakes, lights, and other essential systems.

Emergency Equipment: The bus will be equipped with a first aid kit, emergency contact information, and a cell phone for use in case of emergencies.

This Transportation Policy prioritizes the safety of children during field trips and ensures that transportation is conducted in a secure and supervised environment. Parents are responsible for the daily transportation of their children to and from the center.

Emergency Plan and Procedure

The safety and well-being of the children in our care are paramount. This Emergency Plan and Procedure outlines the actions that will be taken in the event of an emergency. It includes evacuation procedures, care provisions, communication with families, and staff training.

Comprehensive Emergency Plan

Risk Assessment: The emergency plan considers the specific risks within our community, such as earthquakes, fires, floods, and severe weather. The plan is designed to address these potential emergencies and ensure the safety of all children and staff.

Emergency Scenarios: The plan covers a variety of scenarios, including evacuation, shelter-in-place, and lockdown procedures, depending on the nature of the emergency.

Evacuation Procedures

Evacuation Location: If an evacuation is necessary, children and staff will be relocated in the parking area behind the emergency exit (The parking area is easily accessible through the emergency exit door, making it a quick and safe gathering point for staff and children during an evacuation.), which offers shelter and protection. This location is within walking distance of the facility.

Transportation: The primary method of reaching the evacuation location will be by walking.

Child Records and Supplies: Staff will take the children’s records, emergency contact information, medications, first aid kit, and emergency supplies during the evacuation. These items are stored in an easily accessible, portable emergency bag.

Providing Care during an Emergency

Shelter-in-Place: If evacuation is not possible, the facility will shelter in place with access to emergency supplies, food, water, and first aid.

First Aid and Medications: Staff trained in first aid will attend to any injuries. Medications stored on-site for individual children will be taken along and administered as required.

Comfort and Safety: Emergency supplies include extra clothing, blankets, food, water, and comfort kits to keep children warm, fed, and reassured until families can arrive.

Supervision and Support: Staff will maintain close supervision, provide emotional support, and engage children in calm activities to keep them safe and comforted.

Communication with Families

Emergency Notification: Families will be informed of the emergency via phone, text message, or email as soon as it is safe to do so. Parents/guardians will be provided with information on the nature of the emergency, the children’s location, and instructions for pick-up.

Emergency Plan Distribution: The emergency plan will be shared with families at the time of enrollment and during annual updates. Copies of the plan are available upon request.

Maintenance of Emergency Supplies and Equipment

Regular Checks: Emergency supplies, including first aid kits, food, water, and comfort kits, will be inspected and replenished every six months to ensure they are complete and up to date.

Storage: All emergency supplies are stored in a designated, easily accessible location within the facility. Portable emergency kits are also prepared for quick evacuation.

Staff Training and Awareness

Training Programs: All staff will receive comprehensive training on the emergency procedures during orientation and through regular refresher courses. This includes hands-on practice with evacuation, first aid, and communication protocols.

Emergency Drills: Regular emergency drills will be conducted to ensure that staff and children are familiar with evacuation routes, meeting points, and safety procedures.

Location Awareness: Staff and other individuals involved in the care of children will be made aware of the location of emergency supplies, first aid kits, and emergency contact information.

Care and Supervision Policies

Purpose: To ensure the safety, well-being, and development of all children in our care by maintaining high standards of supervision and providing a nurturing environment.

Policy Overview: The Care and Supervision Policies outline the responsibilities of staff members in ensuring that children are always adequately supervised, engaged in appropriate activities, and cared for in a manner that promotes their physical, emotional, and cognitive development.

Supervision Standards:

Active Supervision: Staff members must engage in active supervision at all times. This means being aware of the entire environment, positioning themselves strategically to observe all children, and frequently scanning the room and playground.

Teacher-to-Child Ratios: The facility adheres to the mandated teacher-to-child ratios set by licensing regulations. For field trips, a ratio of 1:6 (staff to children) will be maintained to ensure safety during off-site activities.

Transition Times: Special attention is given during transition times (e.g., moving from one activity to another, arrival and departure) to ensure that all children are accounted for and safely supervised.

Daily Signing In and Out Policy:

Arrival and Departure: Parents or authorized guardians must sign their children in and out daily using the designated system. Only authorized individuals are permitted to pick up children.

Late Pick-Up: A late fee of $5 per minute will be charged for late pick-ups. In case of late or failed pick-up, the staff will follow emergency procedures to contact parents or authorized contacts.

Off-Site Supervision (Field Trips): Field Trip Ratio: The staff-to-child ratio for field trips will be 1:6 to ensure adequate supervision. All staff will be trained in safety protocols, and children will be transported using a safe bus equipped with car seats and all required safety equipment.

Indoor Activities: Children will be supervised by staff members during all indoor activities, including free play, structured activities, and nap time.

Outdoor Play: Outdoor play is an integral part of the daily schedule. Staff members will ensure that children are supervised during outdoor activities and that the play area is safe and secure.

Safety Procedures:

Emergency Drills: Regular fire, earthquake, and other emergency drills will be conducted to ensure that children and staff are familiar with evacuation and safety procedures.

First Aid and Emergency Response: All staff members are trained in first aid and CPR. First aid kits are readily available in all areas of the facility, and an emergency plan is in place for responding to injuries or health emergencies.

Rest Time Supervision:

Nap Time: During nap time, staff will ensure that children are resting comfortably and safely. Teachers will check all children every 15 minutes to ensure they are okay and that their resting conditions are comfortable. Staff will supervise the area to ensure that all children are accounted for and that the environment is quiet and conducive to rest.

Communication with Parents:

Daily Reports: Parents will receive daily reports on their child’s activities, behavior, and any concerns or incidents that occurred during the day.

Parent-Teacher Communication: Open lines of communication between parents and staff are encouraged to ensure that parents are informed of their child’s progress and any issues that may arise.

Bathroom Supervision Policy

Purpose: To ensure the safety, privacy, and proper hygiene of children during bathroom use while maintaining appropriate supervision.

Supervision Guidelines:

Teacher Supervision: At least one teacher will supervise children while they use the washroom to ensure their safety and provide assistance as needed. The teacher will remain outside the bathroom stall or door to respect the child’s privacy while being close enough to offer help if required.

Age-Appropriate Assistance: Younger children will receive more hands-on assistance, such as help with clothing, hand washing, and toileting needs, while older children will be encouraged to use the bathroom independently, with supervision nearby to ensure safety.

Privacy and Respect: Teachers will ensure that each child’s privacy is respected at all times, offering assistance only when necessary and appropriate. Children will be encouraged to develop independence in their bathroom routines as they grow.

Safety Measures: The bathroom area will be checked regularly to ensure it is safe and clean. Any potential hazards will be addressed immediately.

Documentation and Reporting: Any incidents or concerns observed during bathroom use will be documented in the log book and reported to parents if necessary.

Diapering and Putty Training Policy

Diapering Procedures:

 Parents must provide an adequate supply of diapers, wipes, and any necessary creams for their child.

 Teachers will check and change diapers regularly to ensure the child’s comfort and hygiene.

 Soiled diapers will be disposed of properly, and hands will be washed before and after each diaper change.

 If a child has a diaper rash or requires a special ointment, parents must provide written permission for staff to apply it.

 

Putty Training Expectations:

 We support putty training in partnership with parents and will follow a consistent approach to make the transition smoother.

 Parents should inform staff when their child is ready to begin potty training.

 Children should wear pull-ups or training underwear during the transition period.

 Staff will encourage and remind children to use the potty at regular intervals, but accidents are expected and handled with care and patience.

 Extra clothing, including underwear and pants, should be provided daily in case of accidents.

 If a child has more than two accidents in one day after transitioning out of diapers, parents must provide pull-ups for the child to wear until they show more consistent potty training progress. This is necessary to maintain hygiene and comfort for the child and others.

 

Parent Collaboration:

Open communication between parents and staff is essential to ensure a consistent approach to putty training.

Parents should update staff on any progress or changes in their child’s putty training routine at home.

Health, Illness, and Medication Procedure

Purpose: This procedure outlines the health and hygiene practices, illness protocols, and medication management at Maple Caspian Kids Academy to ensure the safety and well-being of all children in our care.

Promoting Health and Hygiene

Hygiene Procedures for Staff:

 Hand Washing:

 

 

 Staff must wash hands with soap and water:

 Before and after handling food.

 After using the toilet or assisting a child with toileting.

 After changing diapers.

 After wiping a child’s nose or handling bodily fluids.

 After handling garbage or cleaning.

 Use hand sanitizer if soap and water are not available, but follow up with hand washing as soon as possible.

 

Cleaning and Sanitizing:

Toys and Equipment: Toys and equipment will be cleaned and sanitized daily. Items that are mouthed by children will be sanitized immediately after use.

Linens: Bed linens and blankets will be washed weekly or more often if needed. Each child will have their own linens, which will be stored separately to prevent cross-contamination.

Diapering Procedures:

Diaper changing areas will be cleaned and disinfected after each use.

Staff will wear disposable gloves and wash their hands before and after each diaper change.

Used diapers will be disposed of in a designated, covered, and lined trash can, which will be emptied regularly.

Hygiene Program for Children:

Hand Washing:

Children will be taught to wash their hands with soap and water:

Before eating or handling food.

After using the toilet.

After outdoor play.

After handling animals.

Staff will supervise and assist young children to ensure proper hand washing techniques.

Preventing Illness:

Children will be encouraged not to share personal items such as towels, toothbrushes, or combs.

Tissues will be readily available, and children will be taught to cover their mouths and noses when coughing or sneezing, followed by immediate hand washing.

Illness

Exclusion Due to Illness:

Symptoms/Conditions:

A child will not be permitted to attend the facility if they exhibit the following symptoms:

 Fever of 100.4°F (38°C) or higher.

 Vomiting or diarrhea within the past 24 hours.

 Unexplained rash.

 Persistent cough, difficulty breathing, or other respiratory symptoms.

 Lethargy or unusual irritability.

 Signs of a contagious disease (e.g., chickenpox, strep throat, pink eye).

 

Return to Facility:

A child may return when they are symptom-free for at least 24 hours without the aid of medication or with a doctor’s note stating they are no longer contagious.

Caring for a Sick Child:

Isolation:

If a child becomes sick during the day, they will be moved to a designated quiet area away from other children. They will be supervised by a staff member until a parent or guardian can pick them up.

Comfort and Care:

The child will be made comfortable, provided with a blanket, and given water. Staff will monitor the child’s symptoms and provide appropriate care while waiting for the parent/guardian.

Notifying Parents:

Process for Notification:

If a child becomes sick, staff will immediately contact the parent or guardian using the emergency contact information provided. If the parent/guardian is unreachable, the emergency contacts will be called.

Documentation:

Staff will document the time of onset of symptoms, the actions taken, and any communication with parents or emergency contacts.

Responding to an Outbreak of Communicable Disease:

Notification:

If an outbreak of a communicable disease occurs, parents will be notified immediately, and public health authorities will be contacted as required.

Facility Cleaning:

The facility will undergo a thorough cleaning and disinfection. Toys, equipment, and surfaces will be sanitized to prevent the spread of the disease.

Exclusion of Affected Individuals:

Children or staff diagnosed with the communicable disease will be excluded from the facility until they are cleared by a healthcare provider.

Medications

Obtaining Parental Consent:

Written Consent:

Parents must provide a signed consent form with detailed instructions for administering any medication, including dosage, timing, and any special instructions. This includes both prescription and over-the-counter medications.

Medication Administration Record (MAR):

All medications administered to children will be recorded in a Medication Administration Record, including the date, time, dosage, and the name of the staff member who administered the medication.

Prohibited Medications:

Non-Acceptance of Tylenol:

Maple Caspian Kids Academy does not accept or administer Tylenol (acetaminophen) or any over-the-counter fever-reducing medications. This policy is in place to ensure that symptoms of potentially serious illnesses are not masked, allowing for appropriate care and medical attention.

Parents will be notified if their child has a fever or requires pain relief, and they will be responsible for administering any necessary medication.

Administering Medication:

Safe Administration:

Only designated staff members trained in medication administration will give medication to children. They will follow the instructions provided by the parent/guardian and ensure that the correct dosage is administered at the right time.

Emergency Medication:

For children who require emergency medication (e.g., EpiPens, inhalers), an individual care plan will be developed in consultation with the parents and healthcare provider. This plan will detail the steps to be followed in case of an emergency.

Storage of Medications:

Safe Storage:

Medications will be stored in a locked cabinet, out of reach of children. Medications requiring refrigeration will be stored in a clearly labeled, secure area of the refrigerator.

Access:

Only authorized staff will have access to the medication storage area.

This Health, Illness, and Medication Procedure is designed to protect the health and safety of all children and staff at Maple Caspian Kids Academy. We are committed to maintaining a clean and healthy environment, managing illness appropriately, and administering medications safely and responsibly.

Reportable Incident Procedure

Purpose: This procedure outlines the steps to be taken when a reportable incident occurs at Maple Caspian Kids Academy. It ensures compliance with licensing requirements, promotes child safety, and supports the ongoing improvement of our care practices.

Reporting Reportable Incidents

Process for Reporting to Licensing:

Immediate Action:

Upon occurrence of a reportable incident, the staff member who witnesses or is informed of the incident must immediately inform the Director or Person in Charge.

The Director or Person in Charge is responsible for ensuring that the incident is reported to Licensing within 24 hours.

Reportable incidents include, but are not limited to, serious injury, abuse, neglect, missing or wandering children, and any situation that poses a significant risk to the health, safety, or well-being of children in care.

Report Submission:

The Director or Person in Charge will complete the required incident report form, providing detailed information about the incident, including the date, time, location, individuals involved, and actions taken.

The completed form will be submitted to the local Licensing Officer via email, fax, or the prescribed reporting method.

Incident Review and Prevention:

Incident Review Process:

After the immediate reporting and handling of the incident, a review meeting will be held within 48 hours involving relevant staff members and the Director.

The review will assess the causes of the incident, the effectiveness of the response, and any contributing factors.

Based on the review, the team will develop strategies to prevent a similar incident from occurring in the future, which may include policy updates, staff training, or environmental changes.

Documentation:

All incidents will be documented in a log book and include details of the incident, the review process, and any actions taken to prevent recurrence.

Incident reports will be stored securely and will be accessible only to authorized personnel and licensing representatives.

Reporting Abuse and/or Neglect

Reporting Disclosures or Allegations of Abuse or Neglect:

Child Not in Care:

If an allegation of abuse or neglect is made concerning a child who was not in our care at the time of the alleged incident, the staff member must immediately report the disclosure to the Ministry of Children and Family Development (MCFD).

The staff member will document the disclosure in a confidential report, including all relevant details, and submit it to MCFD.

The Director will be informed of the disclosure but will not be involved in the reporting process to maintain the confidentiality and integrity of the report.

Child in Care:

If an allegation is made concerning a child who was in our care at the time of the alleged abuse, the staff member must report the allegation to the Director immediately.

The Director will ensure that the allegation is reported to the Licensing Officer as required, and that the child’s parents are informed, provided it does not interfere with an investigation.

A written incident report will be prepared, detailing the disclosure, actions taken, and notifications made.

Documentation and Notification Process:

Confidentiality:

All documentation related to abuse or neglect disclosures will be kept confidential and stored securely.

Only authorized personnel and external authorities (MCFD, Licensing) will have access to these records.

Notification:

Parents will be notified of any disclosure or allegation involving their child unless otherwise advised by MCFD or Licensing to protect the child’s safety or the integrity of an investigation.

Missing and Wandering Children

Steps to Take When a Child is Identified as Missing:

Immediate Search:

Upon realizing that a child is missing, staff will conduct an immediate search of the facility and surrounding areas, including the playground, bathrooms, and any nearby locations the child may have wandered to.

All other children will be gathered in a secure area and supervised by additional staff to ensure their safety during the search.

Notification:

If the child is not found within 5 minutes, the Director or Person in Charge will contact local police and provide a detailed description of the child, including what they were wearing and any known places the child might go.

Parents or guardians will be notified immediately after contacting the police. They will be informed of the situation and the steps being taken to locate their child.

Incident Documentation:

A detailed incident report will be prepared, documenting the events leading up to the child’s disappearance, the search efforts, and the outcome.

A review meeting will be held after the incident to evaluate the response and to implement any necessary changes to prevent future occurrences.

This Reportable Incident Procedure at Maple Caspian Kids Academy ensures that all incidents are handled promptly, transparently, and in accordance with legal and regulatory requirements. Purpose: The Nutrition Policy at Maple Caspian Kids Academy ensures that all children receive nutritious meals and snacks that align with their dietary needs while maintaining a safe and healthy environment

Responsibility for Providing Food and Drinks

Parent Responsibilities:

Provision of Meals and Snacks:

Parents are responsible for preparing and providing all meals and snacks for their children each day. This includes breakfast, morning snacks, lunch, and afternoon snacks.

Maple Caspian Kids Academy requires that all food brought to the facility aligns with our guidelines, which include the exclusion of certain items for health and safety reasons.

Prohibited Items:

To ensure the safety and health of all children, the following items are strictly prohibited:

Chocolate, Sweets, and Candy: These items are not allowed to promote healthy eating habits and prevent dental issues.

Peanuts and Peanut Products: Due to the high risk of severe allergic reactions, no peanut-containing products are allowed at the facility.

Healthy Choices Encouragement:

Parents are encouraged to pack balanced and nutritious meals that include fruits, vegetables, whole grains, and proteins in accordance with the Canada Food Guide.

Water should be provided for children to drink throughout the day.

Promoting Healthy Nutritional Habits

Daily Active Play:

Physical Activity Requirement:

Children at Maple Caspian Kids Academy will participate in at least 60 minutes of active play each day, divided between structured and unstructured activities. This includes both indoor and outdoor play.

Outdoor Play: Weather permitting, children will spend a minimum of 30 minutes outdoors daily, engaging in activities such as running, jumping, climbing, and other gross motor exercises. The playground at Blue Mountain Park, located 300 meters from the facility, will be utilized regularly for outdoor play.

Indoor Play: In cases of inclement weather, indoor active play will be provided through activities like dancing, obstacle courses, and movement games in our spacious activity area.

Structured vs. Unstructured Play:

Structured Play: Teachers will lead organized games, sports, and activities that focus on developing physical skills, teamwork, and coordination.

Unstructured Play: Children will have free time to explore, create, and play independently or with peers, allowing them to engage in self-directed physical activity.

Parental Responsibilities for Active Play

What Parents Need to Provide:

Appropriate Clothing and Footwear:

Parents are required to ensure that their children come to the facility dressed in appropriate clothing and footwear for active play. This includes:

Footwear: Sturdy, closed-toe shoes that allow for safe running, jumping, and climbing.

Outdoor Clothing: Seasonal outerwear such as jackets, boots, gloves, and hats for cold or wet weather. Sunscreen and hats are also recommended for sunny days.

A checklist of required items will be provided to parents upon enrollment and seasonally as needed to ensure children are prepared for daily active play.

Labeling and Maintenance:

Parents should label all clothing and footwear with their child’s name. It is the parents’ responsibility to ensure that all items are in good condition and fit properly.

The facility will provide storage for extra clothing and shoes, which should be refreshed as needed.

Communication and Support

Screen time at Maple Caspian Kids Academy is strictly limited to educational purposes. We do not use screens for entertainment or passive viewing during active playtimes.

TV Viewing:

Children may watch educational movies or programs that are age-appropriate and aligned with the curriculum. This viewing is limited to 15 minute before nap time to help children wind down and prepare for rest.

Time Limit:

Screen time is restricted to no more than 20 minutes per day. This ensures that screen use does not replace or interfere with active play, social interaction, or other developmental activities.

Screen-Free Environment

Encouraging Physical Activity and Interaction:

Active Play Focus:

During active play periods, all screens, including TVs, computers, tablets, and electronic games, are turned off to encourage physical activity, creativity, and social engagement.

Prepayment Terms

Prepayment Requirements:

Deposit and Prepayment:

Upon enrollment, parents are required to make a prepayment, which may include a deposit and/or advance payment for child care services. The specific amount and terms of this prepayment will be detailed in the Enrollment Agreement.

Refund Conditions

Refund Eligibility:

Withdrawal Notification:

Parents must provide a written notice of withdrawal at least 30 days in advance if they wish to discontinue their child’s enrollment. Failure to provide sufficient notice may result in the forfeiture of the prepayment.

Refund Calculation:

Refunds will be calculated based on the amount of unused services. If a parent has prepaid for a month of child care and provides appropriate notice of withdrawal, the refund will be prorated for any remaining days after the child’s last day of attendance.

Administrative Fees:

An administrative fee may be deducted from the refund to cover the costs of processing the withdrawal. The amount of this fee will be specified in the Enrollment Agreement.

Non-Refundable Payments

Non-Refundable Circumstances:

Late Withdrawal:

If a parent withdraws their child without providing the required 30-day notice, the prepayment may be non-refundable.

Absences:

Refunds will not be provided for days when the child is absent due to illness, vacation, or other personal reasons.

Termination by Facility:

If Maple Caspian Kids Academy terminates a child’s enrollment due to behavioral issues, non-payment, or other violations of the facility’s policies, refunds will be handled on a case-by-case basis, with no guarantee of a refund.

Special Circumstances

Exceptional Situations:

Medical Emergencies:

In cases where a child is unable to attend the facility due to a medical emergency or extended illness, refunds may be considered on a prorated basis, provided proper documentation is submitted.

Program Suitability:

If Maple Caspian Kids Academy determines that our program is not suitable for a child, we will notify the parents at least 30 days in advance of their child’s last day. This allows families time to make alternative arrangements while ensuring the child’s best interests are prioritized.

Facility Closure:

If Maple Caspian Kids Academy must close temporarily due to an emergency (e.g., natural disaster, public health crisis), refunds or credits for future services may be offered at the discretion of the management.

Agreement and Acknowledgment

Parent Acknowledgment:

Signing the Agreement:

Parents will be required to sign the Repayment Agreement upon enrollment, acknowledging that they understand and agree to the terms and conditions outlined.

Updates to the Agreement:

Maple Caspian Kids Academy reserves the right to update or modify the Repayment Agreement as needed. Parents will be notified of any changes in writing and will be required to sign an updated agreement.

The Repayment Agreement at Maple Caspian Kids Academy is designed to ensure fairness and transparency in handling prepayments and refunds. By clearly outlining the terms and conditions, both the facility and the parents can manage expectations and avoid misunderstandings regarding financial matters.
